KPIs are very important in managing procurement by providing the means for measuring effectiveness of the procurement processes. Procurement cost savings refer to the total cost saved over a given period of time. The following are the procurement KPIs that organisations should track. Monitoring those indicators allows one to make decisions based on performance to create or deliver the most value.

Cost Savings

When it comes to basic procurement metrics that can be measured, one of the most fundamental measurements is cost savings that arise from sourcing activities. At its best, procurement has the capability to directly reduce costs through tactics such as realizing greater bargaining power, purchasing in larger quantities, and reducing ‘leakage’ spending. This is because when buyers are instructed to minimize costs, objectives that relate to cost cutting causes them to have a predisposed mindset on the aspect of cost cutting on their everyday activities. Using this number, it is easier to compare changes in its values over a given period to establish whether specific action plans are bearing fruits. The cost savings KPIs should be a focus area for procurement professionals to analyse and control the overall expenditure that is incurred by the organization, and thus avoid or eliminate the costs that are not value-added by the suppliers. Monitoring this metric may expose other areas for more cost cuts as well as additional efficiencies, technology upgrades, or better suppliers.

Supplier performance

This is a phrase that many individuals and businesses have heard time and again but often don’t take seriously enough. The suppliers’ rating based on figures is useful for understanding where they are friendly or not friendly. The principal indicators in the relationship with a key supplier are the delivery performance, the observed quality defect rate, request fulfilment, and general service. When you rate the vendors based on these aspects, you can incentivize better performance, identify the best performing partners and make corrective action to the poor performing partners.

Purchase Order Cycle Time

That means any time a purchase order is on the system but not yet processed, it means the business is losing business. Through quantifying the procurement cycle from the purchase requisition to the final approval, organization can be able to know areas of concern or opportunities for improvement. Leveraging a robust purchase requisition software can significantly streamline this cycle, reduce delays, and bring greater visibility into the entire procurement process.Maybe the same manager needs to okay 100 orders per week, which will bring everything to a crawl. Or maybe it was due to technological constraints that decisions are not made as fast as we expect them to be. In any case, cycle time tracking, results in improvements in awareness of cycle times and the improvement of processes.

Spend under Management

In the process of calculating the actual spend under management, it is necessary to take into account the fact that not all the total spend is managed and controlled by the procurement team. Training is guided for 80%-90% of addressable spend under guided buying channels. Such spend is driven within those meticulously managed channels that come with contract spend, controls, visibility, and oversight. However, non-structured buying goes against these structures and weakens many possible savings. This way, procurement can be guaranteed that it has very good coverage of the enterprise expenditures to enable it accomplish the cost optimization goals set for it.

Inventory Turnover

In the case of trading companies/the length of time or the number of times an average inventory turns over is given by the inventory turnover ratio. Higher turnover is always good as it means that there is efficient buying and selling while low turnover can be as a result of excess stock and low demand. By managing reorder points, purchase order quantities, and the overall demand of the product, procurement can positively influence this asset utilization metric. The aim here is to ensure enough availability of the item while at the same time avoiding to hold too much stock which would attract high costs.

Fixed Width Sub-headings

Another metric used in budgeting is known as budget utilization, which evaluates the actual procurement expenditure against the set budget in the course of the year. Ideally, agencies desire to exhaust the approved amounts without compromising the funds or exceeding the budget amount significantly. Measuring the extent of the use of the funds indicates the level to which spending relates to the plans, and identifying areas that require changes. Does your budget show that some categories tend to be funded less than others? Does the occurrence of a sudden surge necessary to redirect the funds in the middle of the year? Supervision of the expenditure of funds allows for rational decision-making when it comes to implementing plans and controlling their scope.

Contract Compliance

Failure to adhere to agreed upon tenders undermines procurement activities possible cost reduction. Managing the specified cost also requires organizations to pay attention to compliance with pricing terms, early payment discounts, agreed-upon products and services, preferred suppliers, inventory, and any other contractual requirements. Identifying gaps enables one to undertake a corrective action such as training employees, implementing stiff enforcement policies or improving on the vendor selection process. Finally, it is observed that high contract compliance enables an organization to obtain maximum benefits out of the sourcing contracts.

Strategic Sourcing Coverage

Calculating the percentage of overall spend, managed through strategic sourcing offers a view into how efficient a procurement operation is. Sourcing initiatives incorporate detailed assessment of spending information, requirements forecasting, market assessment and competitive supplier RFx to ensure cost and suppliers. In general, organizations strive to achieve at least 60% of addressable spend under guided strategic sourcing to fully capitalize on the leveraging effect. Monitoring coverage follows the spread of formal procurement techniques across the world. Strategic sourcing helps in making the right data-driven decisions for further scaling of the process.

Conclusion

KPIs are very useful to get the insight into operations of the procurement system. As this article showed, metrics such as cost, cycle time, contract compliance, and inventory turn help in process management and improvement, risk management, goal setting, and spend management respectively. Inductive metrics are perfect for different businesses, but focusing on the correct data is the way to get much more value-adding procurement.
